01. Who we are
VELVET CONCIERGE LTD is registered in England and Wales under company number 16415423. Our registered office is 71–75 Shelton Street, London, England, WC2H 9JQ. For data protection enquiries, contact info@velvetconcierge.co.uk. We are the controller for information we use to manage your enquiry and our relationship with you.
02. Information and purposes
We use the contact information and request details you provide to answer your enquiry and arrange services. Relevant booking details may be needed to fulfil an agreed request. We also use correspondence and transaction records to administer our relationship, resolve disputes and meet legal obligations. The enquiry form on this version prepares an email on your device; it does not submit information to a website database.
03. Our lawful bases
Steps you ask us to take before a contract, and performance of that contract, support enquiry and booking processing. Legal obligations support required accounting records. Our legitimate interests in managing correspondence, protecting our business and resolving disputes support necessary administrative processing, subject to your rights. Where consent is required, including for certain marketing or sensitive information, we will ask separately. Reading this notice does not constitute consent.
04. Sensitive information
Please do not send passport copies, card details or health information in an initial enquiry. If a particular arrangement requires sensitive information, we will explain what is needed, why, how it should be provided and the applicable legal basis and additional condition before collecting it.
05. Recipients and overseas arrangements
Information needed for an agreed request may be shared with relevant accommodation, travel, transport, event or other service suppliers. Email, hosting, payment and professional advisers may also process information where necessary. Some suppliers act as independent controllers and provide their own notices. International arrangements may require overseas disclosures. Before a restricted transfer, we will identify an applicable UK transfer mechanism and explain how to obtain information about relevant safeguards.
06. Retention and security
We keep enquiry information while the enquiry remains active and for a proportionate period needed to address follow-up questions or disputes. Booking and transaction records are retained for applicable accounting requirements and legal claims periods. Information should be deleted or anonymised when these purposes end. Access should be limited to people who need it.
07. Your choices and rights
Depending on the circumstances, you may request access, correction, deletion, restriction or portability of your data. You may withdraw consent without affecting earlier lawful processing. Contact us using the email above; we will respond within the applicable statutory period and explain any permitted extension. We may need proportionate identity checks.
You may object to direct marketing at any time. You may also object to processing based on legitimate interests on grounds relating to your situation.
You may complain to the UK Information Commissioner at ico.org.uk/make-a-complaint. You do not have to contact us first.
08. Your information and this website
Contact details and a description of your request are needed to respond to an enquiry. Other information is optional unless we explain why a booking requires it. This website does not make automated eligibility decisions or use profiling. See our Cookie Policy for this version’s browser technology. Any wider business use of automated decisions must be checked before adoption.
09. Changes
When this notice is materially changed, its date will be updated and any additional notice required by law will be provided.
